While staying at home in order to maintain social distancing in the wake of the COVID-19 pandemic, most of us are resorting to different technological means to connect to people. Professionals, students, teachers or others who wish to schedule a meeting can do it via Microsoft Teams.
A user’s calendar in Teams is connected to their Exchange calendar. When a user schedules a meeting in Outlook, it’ll show up in Teams, and vice versa. Every meeting scheduled in Teams is automatically made into an online meeting.
There are several ways to schedule a meeting in Teams. Users can select ‘Schedule a meeting’ in a chat below the box where you type a new message to book a meeting with the people in the chat. Users also have the option to schedule a meeting using Outlook.
Teams allows users to invite people outside their organisation, including those who don’t have a Teams licence. You’ll need their full email address to invite them.
- Go to where it says Add required attendees. If anyone is an optional attendee, select Optional instead.
- Type the person’s full email address (ex: Joe@example.com).
- Select Invite. They’ll receive an email with a link to the meeting.
Users can also make it a channel meeting by taking the steps below:
- Select New meeting.
- Type the name of a channel where it says Add channel (under the time and date fields).
Channels can’t be edited or added once the invite is sent. You’ll need to send a new invite with the updated channel. If it’s a recurring meeting, open the dropdown menu next to ‘Does not repeat’ (just below the date). Choose how often you want it to occur from the default options, or select Custom to create your own cadence.
Another way to schedule a meeting is by using the Calendar. Follow the steps below:1SectionHow to schedule a meeting in Microsoft Teams on desktop:
STEP 1 Go to Calendar Meetings button on the left side of the app.
STEP 2 Select New meeting in the top right corner.STEP 3Select a range of time in the calendar.
A scheduling form will pop open.
STEP 4 Give your meeting a title, invite people, and add meeting details.
STEP 5 Use the Scheduling Assistant to find a time that works for everyone.STEP 6Once you’re done filling out the details, select Save.
This will close the scheduling form and send an invite to everyone’s Outlook inbox.2SectionHow to schedule a meeting in Microsoft Teams on mobile:
STEP 1 Go to Calendar Meetings button on the bottom of the app.
STEP 2 Select Schedule a meeting button in the top right.STEP 3Go to Add people to team button and select the people you’d like to invite.STEP 4Next, go to Share to a channel:
- If you want to have your meeting in a channel, select the appropriate channel.
- If you’d rather not, skip it.
Note: When you have a meeting in a channel, people will be able to see and join it in that channel.
STEP 5 Then, set start and end times and write a description for the event.
STEP 6 Finally, select Done to schedule your meeting.
